Cadeon Inc. is seeking Executive Administrative Assistant to support our President and CEO.


  • Acting as the administrative point of contact between the President and CEO and internal/external clients
  • Maintain President and CEO's calendar, arrange meetings and appointments and provide reminders
  • Handling President and CEO's requests and queries appropriately
  • Handling sensitive information in a confidential manner
  • Maintain phone system receiving calls, take messages, routing correspondence for the office by providing information to internal colleagues or external enquirers
  • Greeting and assisting visitors to the office
  • Booking conference calls, couriers, restaurants, taxis, etc.
  • Maintain documentation, paper and electronic filing system
  • Maintain and administer the Cadeon office applications: Eventbrite, Mail Chimp, Meetup, Prevue HR, Cadeon Digital Marketing (Silent Salesman), Cadeon CRM (Insightly), Cadeon social media (Facebook, Google Reviews, Instagram, Linked In, Twitter) and updates to Cadeon website
  • Produce reports, presentations and briefs
  • Retrieving, sorting and distributing courier packages and mail
  • Take/post accurate weekly team minutes


Other Responsibilities

  • Arrange and organize travel for the Cadeon Team
  • Generate weekly FreshBooks, timesheet details for the Cadeon Team
  • Monitor office supplies, research advantageous deals or suppliers and re-order as authorized by management
  • Monitor and tag purchased equipment as authorized by management
  • Provide clerical and administrative support to management as requested by President and CEO

  • Previous experience +5 of Executive Administrative Assistant experience is required
  • Post-secondary completion of a one- or two-year program for administrative assistant, office assistant or other professional degree and/or program is required
  • Proficiency in MS Office with expertise in Microsoft Office Suite: Word, PowerPoint and Excel is required
  • Knowledge of CRM, Mailchimp, Prevue HR, WordPress an asset
  • Knowledge of FreshBooks and QuickBooks Online an asset
